Ocassio is a gathering and event registration platform that helps organizers manage guest registration, payment collection, RSVPs, attendance tracking, and shared coordination features like itineraries, announcements, photo galleries, and attendee directories. This Privacy Policy describes what information we collect, how we use it, and the choices you have.

Information We Collect

When you register for an event or create an account, we may collect:

  • Name — the name of each person being registered.
  • Email address — used for registration confirmations, reminders, and account access.
  • Phone number — optional on a per-person basis. Each registrant can choose whether their phone number is visible to other attendees via a privacy toggle in their registration settings.
  • Event registration details — attendee count, pricing tier, dietary restrictions, shirt size, emergency contact, team/roster assignment, and any other fields the organizer has configured.
  • RSVP and attendance information — whether you plan to attend, your check-in status, and related attendance data recorded by the event organizer.
  • Uploaded photos and videos — images or videos you contribute to a shared event gallery.
  • Payment card data — for paid events, card information is entered directly into our payment processor (e.g., Stripe) and is not stored on our servers. We only retain a transaction record to confirm payment status.

How We Use It

We use your information solely to operate the registration, coordination, and gathering features of the service. This includes:

  • Processing event registrations and collecting payments on behalf of the event organizer.
  • Sending confirmation emails, itinerary reminders, and event announcements.
  • Tracking RSVP responses and recording check-in status at the event.
  • Displaying your name (and optionally your phone or email) in a private attendee directory visible only to other registered attendees of the same event.
  • Hosting shared photo and video galleries for event participants.
  • Allowing organizers to manage rosters, teams, and attendee communication.

We do not use your personal data to build advertising profiles or for any purpose unrelated to the service.

Data Sharing

Your information is shared only as necessary to operate the service:

  • Event organizers and co-registrars can view registration details, RSVP status, and check-in data for events they manage.
  • Other registered attendees of the same event can see your name in the directory, and your phone or email only if you have chosen to make those visible via your privacy toggles.
  • Our payment processor (e.g., Stripe) receives card data directly when you pay for a paid event; we do not see or store your full card number.
  • Service providers we use to deliver emails and host files may process limited data on our behalf, under appropriate data-protection agreements.

We do not sell your personal data to third parties.

Data Retention & Deletion

We retain your registration data for as long as the event is active and for a reasonable period afterward for record-keeping and support. You can update your registration details or change your privacy toggles at any time from within the app.

You may request deletion of your personal data at any time by contacting support. We will process your request in accordance with applicable law, removing your information from active systems and from event directories and galleries where feasible.

Children's Privacy

Ocassio is not directed at children under 13, and we do not knowingly collect personal information directly from children under 13. Event organizers may collect limited information about minors (such as shirt size or dietary needs) as part of a family registration submitted by a parent or guardian. If you believe a child under 13 has provided personal information to us directly, please contact support so we can remove it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the effective date above. We encourage you to review this page periodically.
